Media delivery is not only a download link. It is the final operational handoff between production and the client, and it should answer which files are approved, who may access them, whether payment requirements are satisfied and what the client should do next.

Define the delivery record before uploading

Start with the order, property and client. The delivery should inherit those identifiers instead of relying on a folder name. Record the services promised, expected deliverables, client permissions and any delivery conditions.

Separate source, review and client-ready files

Use clear states so unfinished or replaced assets cannot be mistaken for approved media. A practical sequence is:

  1. source media received;
  2. production in progress;
  3. internal quality review;
  4. approved for delivery;
  5. visible to the client;
  6. superseded or archived.

A replaced file should not erase the operational history needed to understand what changed.

Make sizes and formats explicit

Label download options by their intended use and provide exact dimensions or format information when appropriate. Avoid relying on internal language that agents may not recognize. If availability differs by service or order, display only options the client can actually use.

Connect payment rules before release

Decide whether the full delivery, individual assets or specific download sizes require payment. The system should evaluate the account and order state before showing a release action. Manual exceptions should be logged rather than handled through an untracked shared link.

Design the client journey under your brand

A white-label delivery includes the visible domain, organization identity, support contact and follow-up actions. Give clients one reliable place to return for current files instead of creating new links for every revision.

Measure whether the delivery succeeded

Operationally useful signals include when the client opened the delivery, whether payment blocked access, which file variants were downloaded, whether a revision was requested and whether the delivery notification failed.

Reliability principle: a delivery is complete when the right client can retrieve the right approved file under the right account rules—not when an upload finishes.
