A calendar can show an empty hour without showing whether a photographer can perform the ordered service or reach the property on time. Reliable scheduling therefore starts with constraints, then optimizes the remaining valid options.

Represent the real duration of a job

Appointment duration should reflect the selected services and property characteristics. Add setup, parking, access and post-appointment buffers where they materially affect the day. A fixed duration for every order creates delays that compound across the schedule.

Apply hard eligibility rules first

Before comparing convenience, remove candidates who are not eligible. Common hard rules include:

  • not working or already booked;
  • outside the permitted service territory;
  • missing a skill or credential required by an ordered service;
  • on approved time off;
  • unable to reach the appointment between adjacent jobs.

Calculate travel in sequence

Travel should be evaluated from the preceding job to the proposed booking and then to the following commitment. Straight-line distance and distance from a home base are not enough once a workday is underway.

Choose an optimization policy

After applying hard rules, decide what the business is optimizing: balanced workloads, less driving, preferred territory, client continuity or a specific rotation. Keep the policy visible so dispatchers can understand and override an assignment.

Show clients only valid availability

The order form should offer times that can satisfy the selected services and location. If final assignment happens after booking, make that expectation clear and keep enough capacity for the assignment process to succeed.

Review exceptions instead of hiding them

Track manual reassignment, late arrival risk, conflicts and unassigned orders. Exceptions reveal whether durations, territories, buffers or staffing rules need adjustment.

Scheduling principle: availability is the intersection of time, location and capability—not an empty rectangle on a calendar.
